Email No-No’s

Offensive emails are rarely meant to be offensive by the sender. The problem arises when they are read and interpreted in a manner not intended. You can eliminate the possibility of this potentially catastrophic scenario by following Bill Farquharson’s advice in this week’s blog.

I received an email recently from the accounting department of a new client. They were looking for a tax document I had sent them previously. I hit, “Reply,” and responded with, “I sent this to you already, but here it is again” and then attached the document.

As I reread the email, a red flag went off in my head. The wording, I told myself, could easily be read as insulting or arrogant. I changed my email text to read simply, “Happy to,” and then hit, “Send.”

“As I stated in my previous email…”

“You have this in your files already, but…”

“This is my final email. I’ve been trying to reach you so that I can introduce my company…”

You will never lose by removing any possible language which could be misconstrued. You will never lose by ignoring an obvious mistake by the sender. But you will never win if you take the opportunity to feed your own ego, to put the other person down, or to point out their mistake.

Be careful what you commit to writing. The written word is far more powerful than the spoken word.
