A Step-by-Step Time Management Primer

Get Started on Time Management

In Greg McKeown’s book, Essentialism, I learned an essential truth: You can do anything, but you can’t do everything. Pair that with Pareto’s Principle—the 80/20 Rule: identifying and focusing on the most impactful areas to maximize results—and you have a powerful approach to focusing on what truly matters. To begin:

#1. Define Your 5 "Sales Silos"

  • Examples include “Find New Customers,” “Manage Top Five Clients,” and “Sell More to Existing Accounts.”
  • Keep your list to five. More tasks dilute your focus and lead to unnecessary busywork.

#2. Learn to say "No"

  • Opportunities will always come knocking, but not every one is worth your time.
  • Top salespeople master the art of ignoring or delegating tasks outside their wheelhouse.

#3. Track Everything You Do

  • For three to five workdays, jot down every task—emails, proposals, prospecting, deliveries…everything.
  • Set a timer each hour to remind yourself to record your actions.

#4. Group and Name Your Tasks

  • Combine tasks into categories like “Manage Existing Accounts” or “Research New Prospects.”
  • Name each group clearly, aiming for five core areas—your “Sales Silos.”

#5. Eliminate the Rest

  • Connect each current task to a Silo. If it doesn’t fit, drop it.
  • Struggling to let go? Put non-essential tasks on a “maybe” list, seal it in an envelope, and set a date one week out. If you don’t need them by then, toss them.
